Who can use this feature?
- All roles with access level "standard" or higher
- Available on all plans
The aggregates module allows you to count records, aggregate numbers, or visualize insights via a bar graph, donut chart, percentage/gauge, or table.
Suggested uses
Consider the following use cases to empower your teams.
- Total ARR visualization: Customer Success Managers (CSMs) can effortlessly track and visualize the total Annual Recurring Revenue (ARR) they are managing, with breakdowns by quarter
- CSM productivity insights: Use aggregate modules combined with groups and lookup fields to visualize data such as "Notes by CSM" or "Completed Tasks by the Implementation Group"
- ARR risk assessment: Create intuitive bar graphs to display your Total ARR by Renewal Date, segmented by health
- Task management: Leaders can identify overdue tasks by business segment to prioritize work
Add an aggregates module to a new or existing layout
You can add the aggregates module to any home or object-level layout that you own. Admins can add modules to all layouts.
Supported field types for aggregation include Date, True/False, Picklist, or Numeric. Text, Text Area, and Rich Text Area fields are not supported.
- From the tree menu of any Home page or object level layout (account, opportunity, or contact record), click + New Layout to create a new layout from scratch, or click to edit an existing layout > Add Module.
- Enter a name for your new module.
- From the list of module types, click Aggregates.
- Choose from the following aggregate visualization types:
- Once you select a visualization, choose the segment you want to use (or create a new one on the fly).
Available segment types include account, opportunity, contact, note, task, Zendesk, and additional object. (Jira objects are not supported.)
The visualization preview appears on the right and updates in real time as you define the module properties. You can switch between visualization types as you edit. Depending on the visualization type, additional options are available. (See options below.)
- Click Add Module to add the module to the layout.
- Click Save Changes to save the layout.
Bar Chart
- Calculation Type (y-axis): Choose one. Count* | Total | Minimum | Maximum | Average
- Aggregation Field: Choose the field to use for the calculation. *Does not apply to Count.
- Set Goal (optional): Input the value to use as the target threshold (appears as a dashed line). Hover over each bar in the chart to see deltas between actual and goal. *Does not apply to Count.
- What field should the bars show (x-axis): Choose the field to use for the x-axis (group by). Additional options are available for date fields.
- What field should be stacked (optional): Choose the field to use for additional breakdown within the bar. Optionally reverse the primary x-axis field and stacked field.
- Set timeframe interval: If the x-axis uses a date field, choose the timeframe interval to apply.
- How many columns of bars: Choose the maximum number of bars to include in the chart.
- How many slices in each bar: Choose the maximum number of slices in each bar (if using a stacked field).
- Sort order: Choose how to sort values on the x-axis, from left to right. Options vary, depending on the stacked field's type (e.g., picklist, reference, text, true/false). Options may include: Grand Total (High to Low) | Grand Total (Low to High) | [x-axis field] (A-Z) | [x-axis field] (Z-A) | Picklist Order.
Donut Chart
- Calculation Type: Choose one. Count* | Total | Minimum | Maximum | Average
- Aggregation Field: Choose the field to use for the calculation. *Does not apply to Count.
- What field should slice the donut: Choose the field to use for the donut slices.
- How many slices: Choose the maximum number of slices to include in the donut.
- Sort order: Choose how to sort the chart values, starting at the top of the donut moving clockwise. Options vary, depending on the donut slice field type (e.g., picklist, reference, text, true/false). Options may include: Grand Total (High to Low) | Grand Total (Low to High) | [slice field] (A-Z) | [slice field] (Z-A) | Picklist Order.
Number
- Calculation Type: Can choose multiple. Count (required)* | Total | Minimum | Maximum | Average
- Aggregation Field: Choose the field to use for the calculation. *Does not apply to Count.
Percentage
Consider using for quarterly renewal tracking, task management, or health threshold goals.
-
Style: Choose one. Show percentage | Show as gauge chart
-
Percentage of - Segment: Choose the data for the numerator (e.g., At Risk accounts out of All Accounts)
- Calculation Type: Choose one. Count* | Total | Minimum | Maximum | Average
- Aggregation Field: Choose the field to use for the calculation. *Does not apply to Count.
-
Out of - Segment / Numeric:
- Segment: Choose a segment for the denominator (e.g., At Risk accounts out of All Accounts). If segment, object must be the same object used in the numerator ("Percentage of").
- Numeric: Enter a static number for the denominator (e.g., At Risk accounts out of 10).
- Calculation Type / Aggregation Field: Selections are automatically are set using the "Percentage of" selections.
-
Target: Optionally set target thresholds to indicate where current value ranks according to ideal value. The value will go past 100% for cases where you have exceeded goal. Drag the green value to the right or left of the red value to flip the target colors (e.g., the target percentage of at-risk revenue should be closer to 0% rather than toward 100%).
Pivot Table
- Calculation Type: Choose one. Count* | Total | Minimum | Maximum | Average
- Aggregation Field: Choose the field to use for the calculation. *Does not apply to Count.
- What field should the rows show: Choose the field to use for the rows.
- What field should the columns show: Choose the field to use for the columns. Optionally reverse the fields chosen for rows and columns.
- How many columns: Choose the maximum number of columns to include in the table.
- How many rows: Choose the maximum number of rows to include in the table.
- Row / column sort order: Choose how to sort row and column values (if used). Options vary, depending on the row's / column's field type. Options may include: Grand Total (High to Low) | Grand Total (Low to High) | [x-axis field] (A-Z) | [x-axis field] (Z-A) | Picklist Order.
FAQs
Q: Do I need to update my existing layouts?
A: The update enhanced simple bar graphs (horizontal) to more sophisticated displays (vertical) that require more space; therefore, you may notice that some of your layouts have modules with overlapping labels. Simply edit the layout and pull down on the module to resize:
Q: Can I view trend over time (historical graphs) in aggregate?
A: Not at this time. However, you can group by date fields to provide a chart that displays insights based on timeframe (e.g., dollars up for renewal by health in previous and future quarters).
