Maximizing Catalyst: A 5-step guide to driving team adoption

Re-energizing team adoption of Catalyst can be particularly difficult after initial launch momentum fades or following leadership transitions. Whether you're onboarding new team members or seeking a system refresh, this guide offers strategies to rebuild a robust foundation and optimize your team's utilization of Catalyst.

1. Build daily habits

Catalyst's powerful automation and data insights can only have an impact if your team members log in and engage. Here are strategies to build daily habits:

  • Encourage dedicated time: Recommend team members block off 30 minutes daily for planning or portfolio focus.
  • Model engagement: Set the tone by using Catalyst yourself—check notifications, explore account layouts, and monitor segments.
  • Recognize contributions: Comment on team-added notes in Catalyst to demonstrate transparency.
  • Lead with Catalyst: Use Catalyst in team meetings and 1:1s to build confidence and reduce change-related stress.
  • Leverage peer influence: Allow team members to share their Catalyst experiences in meetings to inspire best practices.
  • Create a Support Hub: Set up an “Ask Catalyst” chat/channel for questions and idea sharing, fostering collaboration, and identifying champions.

2. Require training

To set the foundation for effective use with new team members, encourage completion of the Catalyst for Daily Use self-pace course. Using a combination of videos, articles, and knowledge checks, this course is designed to help individual contributors learn key features to confidently use Catalyst in their daily work. Completion of all modules in this course awards participants with 3 points in the community—and a badge to share on their LinkedIn profiles!

After completing the self-paced coursework, we also offer live "day in the life" sessions to get practical advice and ask questions.

3. Monitor team usage

Build a layout to view your team’s activities, helping you track productivity and capacity at team and individual levels. Or, download usage reports for advanced analytics and tracking.

  1. Team Productivity + Capacity layout: Use to help you assign accounts to CSMs, making sure that books stay balanced.
  2. Usage reports: Schedule a report on a regular cadence to track how your team is adopting and leveraging Catalyst. Remember to recognize team members based on their activity!

4. Host internal office hours

Schedule 30 minutes of recurring Internal Catalyst office hours for your team and cross-functional stakeholders to ask any questions related to the platform. Initially, have a Catalyst Admin lead these sessions, but eventually, internal champions can take the reins. Document questions and answers to close the loop with your team afterward.

Some attendees may just want to listen and learn, so it's beneficial to have a topic ready in case no one has questions. Share insights you've learned or ask the team to share their own experiences with Catalyst. Potential topics:

  • Layout walkthroughs
  • Health score deep dive
  • Creating a book-of-business segment
  • Meeting prep or follow-up with Catalyst
  • Other topics from the Totango community

If possible, record these sessions and share them with the larger organization, including a summary of covered topics for easy navigation. 

5. Showcase your team processes

To help your teams get the most out of Catalyst, create a home-level "Team Processes" layout as a go-to resource for your internal processes.

  • Centralized knowledge: It serves as a single source of truth for your team, ensuring everyone is on the same page regarding processes.
  • Improved onboarding: New team members can quickly get up to speed by accessing this resource, reducing the learning curve and increasing productivity.
  • Cross-departmental collaboration: A well-documented resource promotes collaboration between departments, as everyone can understand how Catalyst can support their specific roles and objectives.

Personalize your document with any relevant, company-specific details or resources to ensure alignment with your teams and processes, like who owns Catalyst in your organization and which departments have access.
