Manually delete records

Who can use this feature?

  • All roles with access level "high"
  • Available on all plans

If you no longer need certain records to exist in Catalyst, you can bulk delete records from account, opportunity, contact, or additional objects.

Delete all records in a segment

We recommend exporting a CSV of your segment before proceeding, including exporting segments of notes and tasks associated with that object.

Once records are removed, they cannot be restored.

  1. Create a segment that includes all the records you want to delete.
  2. From the Settings sidebar, navigate to Record Deletion.
  3. Locate the segment you created.
The segment filters are available to view.
  4. Click Next.
A preview of the records to delete appears.
  5. As a confirmation, enter the total number of records being deleted.
  6. Click Confirm Deletion.
The selected records are removed from Catalyst.

To prevent records from syncing back into Catalyst after deletion, the records must also be either deleted from Salesforce or removed from the Salesforce integration filter. If not, the next time Catalyst syncs with Salesforce, these records will be re-imported with incomplete data.

Removal actions

Refer to the following table to see how Catalyst processes deletion by object.

  Removed Not removed
Accounts
  • Associated contacts
  • Associated opportunities
  • Associated Catalyst notes
  • Associated Catalyst tasks
-
Opportunities
  • Associated Catalyst tasks
  • Note associations to the opportunity
  • Associated Catalyst notes
Contacts
  • Note associations to the contact
  • Task associations to the contact
  • Associated Catalyst notes
  • Associated Catalyst tasks
Additional Objects
  • Note associations to object
  • Task associations to object
  • Associated Catalyst notes
  • Associated Catalyst tasks

If a contact or opportunity is deleted, but a note is associated to both that contact or opportunity AND an account, the note will not be removed because it's still associated with the account. If an account is deleted and becomes active again + syncs back to Catalyst, none of the old data (such as Catalyst notes and tasks) will be preserved in Catalyst.
