Who can use this feature?
- All roles with access level "high"
- Available on all plans
Once entry conditions are set on a playbook, you can start adding playbook actions. Field update actions allow you to dynamically update a field value, without requiring your teams to manually update data.
Suggested uses
- Assign a new CSM during account transitions based on intelligent criteria
- Set a new Kickoff date to “X” number of days after a new product is purchased
- Update the Last Contacted date following a transactional email
- Update a synced field to trigger actions in your Salesforce-integrated systems (e.g., a Pendo guide).
Add a "field update" action
Within the Flow Builder, you can apply a field update anywhere in the flow. Field updates are available for the selected object type for the playbook. The moment a playbook action criteria is met for a given account, opportunity, contact or additional object record, Catalyst begins processing the field update change. The time it takes to process may differ depending on the type of field and the new value.
- From within your playbook flow, click the + button.
You can re-order an action once you add it. You can also duplicate actions so you don't have to start from scratch.
- Choose Field Update.
- Select a field (within the selected playbook object), and the select the new value for the field.
- For most field types, options depend on the field type (e.g., a picklist field shows only picklist options). If left unselected, the field update action will clear the field’s current value.
- Date fields have additional functionality to select from these options: Current Date, X Days from Current Date, Specific Date, or Clear Date Field.
- For most field types, options depend on the field type (e.g., a picklist field shows only picklist options). If left unselected, the field update action will clear the field’s current value.
- Click Add.
- Optionally add a delay once the action is configured (recommended), or click Done.
If choosing a specific condition to satisfy before advancing, you can also provide a time limit to ensure the field value change is made up until the “Time limit” is reached. This type of delay can cautiously buffer the field update is made correctly without failing or having to be edited by an admin (in case it does).
- Add other actions as needed. You can add multiple field update actions on the same day. Each field update action is added to the playbook flow.
Expected timeframes for field updates
- Fields that are synced to Salesforce will be written and updated first before reflecting in Catalyst to ensure field validation rules are passed. This may result in longer processing times of up to a few of hours.
- Fields that are not synced to Salesforce will update and reflect in Catalyst within an hour.
- If a field update fails, Catalyst notifies the playbook creator via the notification inbox (Errors tab). Email notifications depend on user settings.
